Why n8n is our automation backbone

n8n is the platform we reach for when a revenue system has to run unattended. It is self-hostable, fair on volume, and built around node-based workflows with branching, error handling and bespoke logic where the standard nodes stop. It connects to anything that exposes an API or a webhook, which in practice means the whole lead-to-care stack: CRM, forms, billing, support, outbound, reporting. It is also a natural home for AI workloads: model calls, agent steps and human checkpoints live inside the same workflow as the rest of the logic.

We do not treat n8n as a demo tool. Our workflows run in production, against real CRM data, with monitoring, retries, idempotent writes and error workflows that alert a human when something drifts. That operational layer is the difference between an automation that works in a screenshot and one that still works in month six.

We configure and connect all three, and the choice is situational, not ideological. Zapier wins when speed and team autonomy matter most and volumes stay modest. Make suits teams that want visual scenarios they can read and own without an engineering bench. n8n wins when you need control: high volumes with sane economics, self-hosting for data constraints, bespoke logic, or AI agents orchestrated with guardrails. A good revenue engine often runs more than one rail, each where it is strongest.
